SPEAKER INFORMATION AND PRESENTATION UPLOAD INSTRUCTIONS

 

SESSION INFORMATION

Please take a moment to review your session information on the WPC Website for correctness,  email admin@kytnwpc.org for any updates.

Speaker Changes:

If you need to change a speaker please send the following for the new speaker:

  • Session Title
  • Name
  • Title
  • Company
  • Email
  • Mobile Number
  • Bio 

 

PRESENTATION UPLOAD INSTRUCTIONS 

Note: Mobile Sessions do not have AV, no upload required. 

 

All uploads are due no later than Wednesday, July 16, as we need to ensure that your presentation runs correctly on our A/V team's computers.

NOTE: Please coordinate upload of your presentation by designating one speaker to manage the Presentation Upload task.

 

Your presentation must be uploaded by Wednesday, July 16, by uploading your presentation to our Box Folders.  If your presentation has no slides, please let us know ASAP.

 

Please label your file with the following format: SessionID_Date (in this format 7_28,  7_29, 7_30) Example for Session ID 111111 on Monday the 28th  = 111111_7_28

  • Your Session ID can be found on the Online Agenda
  • The accepted upload file types are PPT, PPTX, and PDF. An aspect ratio of 16:9 is required.
  • The maximum file upload size is 64MB. Please try to upload first as sometimes larger files are accepted, if it is not accepted by the system please follow the procedures below.

 

Large File Process:

If you run into any issues while uploading and it is due to a very large file please follow this process below. 

  • Please upload a draft version of your presentation without photos, or just the title slide and include the words "place marker" in the title.
  • When you arrive at the conference, bring your presentation to the WPC registration desk. Ask for Ron from Axxis AV, who will assist with transferring your presentation from your laptop, hard drive or USB stick to the laptop you'll be using in the conference room.
  • Onsite, we’ll test your presentation to ensure that all transitions, photos, and videos function properly. This process will help avoid any upload/download issues.

 

 PRESENTATION GUIDELINES

Please review the following guidelines:

  • Prepare your presentation to run in the time allowed. A presentation scheduled for a 30-minute time slot should last for approximately 20-22 minutes to allow for Q&A and session turnover.
  • Your meeting room will be equipped with a lectern, computer, projector, screen, and microphone. If you have additional A/V requirements, please email us at admin@kytnwpc.org to obtain A/V pricing. There will NOT be dedicated Internet access on the presentation computers.

 

CONFERENCE REGISTRATION

If you have not yet done so, be sure to register for the conference in advance to avoid lines onsite. 

If you are not attending the conference and just need a badge to speak that day please register here as a Speaker please note this is a limited registration type, only provides access to the session, no other areas of the conference.

 

ONSITE

 Your presentation will be available to preview onsite in the speaker ready room: Rotunda Room, Level 3, at the Knoxville Convention Center (KCC).

We request that you check in at the speaker ready room at least 30 minutes prior to your session.

Be sure to obtain your conference name badge first at our Registration Desk.

Onsite AV support will be available, and you will be assigned a monitor (session scanning) and a moderator (speaker introductions, overall assistance).
